Why Small Groups Make Better Safaris
Why small group and private safaris often work better in Tanzania, the trade-offs to weigh, and the questions to ask any operator before you book.
The terms that apply when you book a safari, a Kilimanjaro climb or any other trip with The Expedition Tours.
This summary is for convenience only. The full text below is what applies.
These Booking Terms and Conditions form the contract between you and The Expedition Tours for every trip we arrange. They apply to safaris, Kilimanjaro climbs, Zanzibar stays and extensions, day experiences, and accommodation or transfer bookings, together with the written proposal, quotation, itinerary and confirmation we send you.
Please read them carefully before you pay a deposit. By accepting your proposal, paying a deposit, or allowing us to start arranging your trip, you confirm on behalf of yourself and everyone in your party that you have read these terms and agree to them. If anything in your confirmed itinerary differs from these terms on a particular point, the itinerary applies to that point only.
We have written these terms in plain English and aimed to be fair to both sides. If any part is unclear, please ask us before you book. We would much rather answer a question early than have a misunderstanding on the road.
The following words have the meanings below wherever they appear in these terms.
| Term | Meaning |
|---|---|
| We, us, our | The Expedition Tours, a business name registered with BRELA, the Business Registrations and Licensing Agency of Tanzania. |
| You, your | The lead traveller who makes the booking and every other person travelling under it. |
| Lead traveller | The person who deals with us on behalf of the whole party, receives our messages and makes payments. |
| Trip | The safari, climb, stay, transfer or other services described in your confirmed itinerary. |
| Proposal | The day-by-day plan and price we send you after your enquiry. It is not a booking until the steps in section 4 are complete. |
| Confirmation | Our written message, usually by email, confirming that your booking is accepted and your deposit has been received. |
| Arrival date | The first day on which any service in your itinerary begins, as stated in your confirmation. |
| Supplier | Any lodge, camp, hotel, airline, transport provider, park authority, guide, porter, cook or other business or person who provides a service in your trip. |
| Non-recoverable costs | Money we have paid or become bound to pay to suppliers or authorities for your trip that cannot be refunded or reused, such as park permits, mountain fees, flights, and accommodation deposits. |
| In writing | By email or by another written message that we have agreed to accept for the purpose. |
The Expedition Tours is a business name registered with BRELA, the Business Registrations and Licensing Agency of Tanzania, under Business Name No. 717897. Our principal place of business is P.O. Box 7037, Arusha, Tanzania.
We design and arrange safaris, Kilimanjaro climbs and Zanzibar travel for visitors to Tanzania. We bring together services from a range of suppliers into a single trip and act as your point of contact before and during your travel. You can reach us in the following ways.
| Matter | The Expedition Tours | You |
|---|---|---|
| Planning and proposals | Design the trip, explain the options and give a clear quotation. | Read the proposal and ask about anything unclear. |
| Reservations | Reserve services with suppliers once your booking is confirmed. | Give correct names, dates and details. |
| Payments | Confirm what is due and acknowledge what we receive. | Pay on time and by the methods we give you. |
| Insurance | Ask for proof of cover where needed. | Buy suitable cover before travelling. |
| Documents | Point you to useful sources. | Hold valid passports, visas and health documents. |
| Health and fitness | Adapt the trip where we can, once told. | Be fit for the trip and disclose medical needs honestly. |
| Safety on the trip | Brief you and make safety decisions through your guide. | Follow guide and park instructions. |
| Problems | Act on them promptly and reply to complaints. | Tell us at once and complain in writing if unresolved. |
The table below sets out, in general terms, how responsibility is shared between us and you. It is a guide and does not replace the rest of these terms.
A booking begins with an enquiry. We discuss your interests, dates and budget, and then send a proposal with a day-by-day plan and a price. A proposal is an invitation to book, not a reservation. Prices and availability can change until your booking is confirmed.
A binding contract exists only when all of the following have happened: you have accepted the proposal in writing, we have received your deposit, and we have sent you written confirmation. If we cannot confirm your booking, for example because a key supplier is unavailable, we will tell you and return anything you have paid for that booking.
The lead traveller books on behalf of the whole party and confirms that every member has read and accepted these terms. The lead traveller is responsible for passing on our messages and for making sure the others understand any rules, deadlines or requirements that affect them.
Accurate information protects your trip. Please make sure every detail you give us is correct and complete, and tell us promptly if anything changes.
If a name or detail is wrong and needs correcting after confirmation, we will help, but airlines, park authorities and other suppliers may charge to make the change or may not allow it. Any such charge is passed on to you. If an error in the information you gave us causes a service to be refused or lost, we are not responsible for the consequences.
All prices are quoted in US dollars. Unless your quotation says otherwise, prices are per person based on two people sharing a room or tent. Single travellers, and travellers who want a room of their own, may pay a supplement, which will be stated in the quotation.
Prices shown on our website are guide prices only. The price that applies to you is the one in your written quotation, which reflects the season, your dates, the accommodation you choose, the number of people travelling and what is available at the time.
Your price is set in US dollars and we expect payment in US dollars. If you pay in another currency, or your bank or payment provider converts the amount, any exchange rate, conversion cost or bank charge is your responsibility. We do not guarantee any particular rate.
Until your booking is confirmed, we may update a quotation if costs change or availability moves. After confirmation, we will not increase your price for ordinary market movements. The exception is where a government or park authority charge, tax or levy outside our control changes, as explained in section 8.
Your quotation and itinerary list exactly what is included in your price. Please read them closely, because inclusions differ between trips.
If you choose not to use a service that was included, such as a meal, a night's accommodation or an activity, we cannot normally refund it, because we will already have paid our suppliers.
National park fees, conservation area fees, mountain fees, taxes, levies and other government or authority charges are set by the bodies that control them, not by us. They can change, sometimes at short notice and sometimes in the middle of a season.
If such a charge changes after your booking is confirmed, we will tell you as soon as reasonably possible and explain how it affects your price. Where the change increases the cost of your trip, the increase is passed on to you at cost, and we will show you how it was calculated. If the change is a reduction, we will pass the saving on to you in the same way.
Where a change is significant, you may choose to accept the new price, to ask us for an alternative arrangement, or to cancel. If you cancel because of a charge that we have told you has increased, the cancellation terms in section 12 will apply unless we agree otherwise in writing.
Payment is made in two stages, as set out below. Your confirmation will show the amounts and dates that apply to your booking.
| Stage | Amount | When it is due |
|---|---|---|
| Deposit | 30% of the total price | When you accept your proposal, to secure your booking and allow us to reserve services. |
| Balance | 70% of the total price | At least 45 days before your arrival date. |
| Late bookings | Full price | At confirmation, if you book within 45 days of your arrival date. |
The deposit allows us to reserve camps, lodges, vehicles, flights and mountain permits on your behalf. Many of these suppliers require payment in advance, and some of that money cannot be recovered if the booking is later cancelled.
We accept the payment methods listed on our Payments page, which may include bank transfer and card payment. Please use only the payment details given in written messages from us. If you receive different details from anyone else, or a message that looks unusual, contact us directly using the email address or WhatsApp number in these terms before you pay.
Card payments may carry a processing surcharge, which reflects the cost charged to us by the payment provider. We will state any surcharge to you before you pay, and you will have the chance to choose another method. Bank charges on transfers sent from your side are your responsibility, and we ask that you send enough to cover them so that we receive the full amount due.
We will confirm each payment we receive in writing. Please keep your own records, and tell us if a payment you have sent has not been acknowledged.
It is important that payments reach us on time, because we commit money to suppliers on the strength of them. If a payment is not received by its due date, we will normally contact you and give you a reasonable opportunity to put it right.
If the payment is still not received after that, we may treat your booking as cancelled by you and apply the cancellation terms in section 12 based on the date of that decision. Where a payment fails, is reversed, or is returned by your bank, the payment is treated as not made until we have received good funds.
Tell us in writing as soon as you want to change your dates, route, accommodation, activities or the names of travellers. We will do our best to help, but changes depend on availability and on the conditions set by our suppliers.
You will need to cover any change fees charged by suppliers and any difference in price between the original and the new arrangement. We will tell you the cost before making the change, so that you can decide whether to go ahead.
A change that shortens your trip, removes a traveller, or reduces its value is treated as a partial cancellation. The cancellation terms in section 12 apply to the part that is removed, measured from the date we receive your request.
Once your trip has started, changes can be made only with the agreement of your guide and where practical. Any extra cost is payable on the spot or as agreed with us, and unused services are not refunded.
You may cancel at any time by writing to us by email at info@theexpeditiontourstz.com. Cancellation takes effect on the day we receive your email. The charges below depend on the number of days between that day and your arrival date. For a group booking, the lead traveller should give notice on behalf of everyone being cancelled.
| Notice given before arrival | What happens |
|---|---|
| 60 days or more | We refund the payments you have made, less a 5% administrative fee and any non-recoverable costs already committed on your behalf. |
| 59 days to 30 days | The 30% deposit is kept. Any further payment you have made is refunded, less non-recoverable costs already committed. |
| Fewer than 30 days, or a no-show | The full price is retained. |
The 5% administrative fee is calculated on the payments we have received from you at the time of cancellation. Non-recoverable costs are those described in section 2. On request, we will give you a written breakdown of the costs we have retained, and we will not retain more than we are entitled to under these terms.
These figures are illustrations only and are not prices. Suppose a trip costs USD 5,000 in total and you have paid the USD 1,500 deposit. If you cancel with 60 days or more to go, the administrative fee is 5% of USD 1,500, which is USD 75. If we have also committed USD 200 to a non-recoverable permit, we would refund USD 1,225.
On the same trip, suppose you have paid the full USD 5,000 and you cancel with 45 days to go. The 30% deposit of USD 1,500 is kept. The remaining USD 3,500 is refunded, less any non-recoverable costs already committed beyond the deposit. If those costs came to USD 600, you would receive USD 2,900.
If you cancel with fewer than 30 days to go, or do not arrive for the start of your trip, the full price of USD 5,000 is retained in our example, whatever has been paid. If your insurance covers the reason for cancelling, you may be able to claim the loss from your insurer, which is why section 20 requires cancellation cover.
If only some travellers cancel, the cancellation terms apply to their share of the price. Because the price for those who remain may depend on the number sharing, it may change. We will explain any effect before you decide.
Where a refund is due, we aim to pay it within 30 days of confirming your cancellation, to the account or by the method you used to pay. We will tell you if we expect a delay and why.
If you cannot travel, you may ask us to transfer your booking to another person. We will agree where the suppliers allow it and where the new traveller meets all entry, health, age and insurance requirements.
You will have to meet any fees charged by suppliers for the change of name, and any difference in price, and the new traveller must accept these terms. The original traveller and the new traveller remain jointly responsible for the balance due. Domestic flights, park permits and mountain permits are often issued in a named person's name and may not be transferable at all. In that case we will explain the options, which may include cancelling under section 12.
We plan every trip carefully, but sometimes events force a change. Examples include weather, road conditions, flooding, park or route closures, changes to flight schedules, or a supplier being unable to host you. We may need to change the order of days, substitute a similar lodge, vehicle or route, or alter an activity.
If a significant change is needed, we will tell you as soon as reasonably possible and offer a suitable alternative. A significant change is one that materially reduces the quality or purpose of your trip.
If we offer an alternative and you reasonably decline it, or if no suitable alternative exists, you may cancel the affected part of the trip and we will refund what you have paid for it. Minor changes, such as a different vehicle of similar standard or a change to the timing of a game drive, are part of normal operations and do not give a right to cancel or to compensation.
We may cancel your trip if it is unsafe to run, if we cannot deliver it for reasons outside our control, or if you do not pay on time. If we cancel because it is unsafe or impossible to run, we will refund the money you have paid for the parts we cannot provide. We are not responsible for separate costs, such as flights, visas or insurance you arranged yourself.
We select accommodation for each trip according to the standard and style described in your itinerary. Rooms, tents and bedding are allocated by the property, and layouts, views and facilities can differ between rooms of the same type.
If a named property is unavailable, overbooked, closed, or unsuitable for safety reasons, we may replace it with another of a similar standard in the same area. If a substitute is of a clearly lower standard, we will discuss a fair adjustment with you.
Remote camps and lodges may have limited electricity, hot water, mobile signal and internet. These are features of the location, not defects, and we cannot guarantee any of them. Mountain huts and camps are basic.
Prices assume two people sharing unless stated. If you travel alone and want your own room, a single supplement may apply. We cannot always match solo travellers with a compatible roommate.
You are responsible for loss or damage you cause to accommodation, equipment or vehicles, other than normal wear and tear.
Ground transport for your trip is arranged by us using vehicles suitable for the roads and conditions of your itinerary. The type of vehicle will be described in your proposal, and a vehicle of similar standard may be substituted if needed.
Roads in and around the parks can be rough, and travel times are estimates. Weather, road works, wildlife, border and checkpoint stops and traffic can cause delays. A long drive is a normal part of many itineraries.
Seat belts and any other safety equipment provided must be used. Travellers must follow the driver's instructions about when to stay in the vehicle, when to stand in an open roof and when to remain seated.
If a vehicle breaks down, we will arrange a replacement or repair as soon as reasonably possible. We cannot be liable for delay that is outside our control, but we will do what we reasonably can to keep your trip on track.
Some itineraries include domestic or light aircraft flights, for example to reach remote parks or Zanzibar. These flights are operated by airlines and operators, not by us, and are subject to their own conditions of carriage.
Airlines can change or cancel schedules, particularly in bad weather or because of operational needs. If this affects your trip, we will help to rearrange it, but any extra costs that follow from a flight change are generally outside our control.
Small aircraft and some transfers have strict limits on baggage size, weight and type, and often require soft bags. We will tell you the limits that apply when we know them. Airlines may refuse or charge for baggage that does not comply, and any such charge is yours.
Flight tickets are issued in the name given to us, which must match your passport. Changes after ticketing may be costly or impossible.
Every traveller must have comprehensive travel insurance in place before the trip begins and for its whole length. This is a condition of travelling with us. Your policy must cover:
If your trip includes Kilimanjaro, your policy must specifically cover trekking up to the summit at 5,895 metres, including emergency evacuation from the mountain. Many standard policies exclude trekking at altitude, so please read yours carefully and ask your insurer to confirm in writing.
We may ask to see proof of insurance before you travel and, for a climb, before you start. If you cannot show suitable cover, we may refuse to let you take part, and the cancellation terms in section 12 apply. We do not sell insurance and cannot advise on which policy suits you.
Medical care and evacuation in remote areas can be very costly, and cancellation charges under these terms can be substantial. Without insurance, these costs fall on you.
You are responsible for being fit and well enough to take part in the trip you have booked. Please talk to a doctor before booking, especially for a Kilimanjaro climb, a walking safari or a long itinerary, and take their advice on vaccinations, medication and preparation. We do not give medical advice.
We will ask you to tell us about any medical condition, injury, allergy, medication, pregnancy, disability or other circumstance that could affect you or others during the trip. You must answer honestly and fully, and update us if anything changes before you travel. If you do not disclose something relevant, we may be unable to adapt your trip safely, and we may not be responsible for the consequences.
If we reasonably believe that taking part would put you or others at serious risk, we may refuse to let you start or continue the trip. In that case, services you do not use are not refunded.
You are responsible for bringing enough of any prescription medicine you need, in its original packaging, together with any supporting letter your doctor suggests. Medical facilities in remote areas can be far away.
Your guide has the authority to change the route, the pace or the day's plan, or to ask any traveller to stop, rest, turn back or descend, if they believe this is needed for safety. Their decision is final. Unused days and services are not refunded, and costs of evacuation, treatment or onward travel are for you and your insurer.
Climbing Kilimanjaro is a serious undertaking. These terms apply in addition to the rest of this document to any trip that includes a climb.
We cannot guarantee that you will reach the summit. Altitude affects everyone differently, regardless of fitness or experience, and weather and mountain conditions change. A climb that ends early for safety or health reasons is still a completed service, and no refund is due for unused days.
Your guides will monitor your health as you climb. If they judge that you or another climber should stop or go down, you must follow their decision, which is final. This applies even if you feel able to continue.
Mountain fees, rescue arrangements and rules are set by the authorities responsible and can change. Route, camps and itinerary may be adjusted for safety or conditions.
You are responsible for suitable clothing, boots and personal equipment, and for the training that your doctor advises. Where we provide or arrange equipment, it is for use as instructed and must be returned in good condition.
We expect everyone on the mountain to treat porters and crew with respect and fairness. Please follow the guidance of your guide about weight, tips and conduct towards the crew.
If an evacuation is needed, the decision to carry out an evacuation is taken on safety grounds, and the costs are for you and your insurer. This is why section 20 requires cover for evacuation from the mountain.
Wildlife moves freely and cannot be guaranteed. Sightings, migration movements, river crossings, births and predator behaviour are natural events. The absence of a particular animal or event is not a ground for a refund or compensation, even if it was a reason you chose the trip.
Descriptions of the best time to see particular things are general and based on past experience. Weather and ecological patterns vary from year to year, and we cannot promise outcomes for any date.
Your guide will use their judgement to choose where to go, when, and how long to stay at a sighting, taking account of safety, park rules, road conditions and the experience of all travellers in the vehicle. Timings in the itinerary are guides, not fixed promises.
Wild animals can be dangerous even when they appear calm. You must follow your guide's instructions at all times and accept the risks that come with being close to wildlife.
We ask all travellers to behave responsibly, safely and with respect for people, wildlife and the environment.
If your behaviour puts others at risk, breaks park or national law, or seriously affects the enjoyment of others, we may end your participation. No refund is then due, and you are responsible for fines, damage and any costs resulting from your actions.
Children are welcome on many of our trips, but not every trip or property is suitable for every age. Some lodges, camps, activities, walking safaris and mountain routes set their own age rules, and park authorities may have their own requirements.
Anyone under the legal age of adulthood must be accompanied by a parent or responsible adult, who stays responsible for their supervision, safety and conduct throughout the trip. Guides and crew cannot act as childminders.
Safaris involve long drives, early starts and close proximity to wild animals. Climbing Kilimanjaro carries added risks, particularly for children. Please talk to us and to your doctor before booking for a child, and tell us the age of each child when you enquire.
Prices for children may differ from adult prices and will be stated in your quotation. Children need their own valid passport, and additional documents may be required if a child travels without both parents. Please check the current requirements with the relevant authorities.
Tell us about your special requests at the time of booking, and as early as you can. These include dietary requirements, allergies, celebrations, room preferences, mobility needs and any equipment you rely on.
We will pass on dietary and allergy information to our suppliers and do our best to cater for it. Kitchens in remote locations may be small, and we cannot always guarantee that food is free of traces of allergens. If your allergy is severe, please tell us in detail and carry any medication you need.
Many properties, vehicles and routes have steps, uneven ground and limited facilities. If you or a member of your party has limited mobility, tell us before booking so that we can look for suitable arrangements. We will say honestly what is and is not practical.
Special requests are passed on and noted, but unless we confirm a request in writing, we cannot guarantee that it will be met. Failure to meet a request that was not confirmed does not entitle you to compensation.
You are responsible for having a valid passport, any visa or entry permit you need, and any vaccinations, health certificates or other documents required for your journey, including for any countries you pass through.
Rules change regularly and differ between nationalities. Please check the current requirements with the relevant embassy, immigration authority and health authority well before you travel. We can point you to useful sources, but we cannot give legal or immigration advice, and we are not responsible if you are refused entry, boarding or services because your documents or health certificates are incorrect, missing or out of date.
Tips are not included in the price unless your itinerary says so. They are a personal and voluntary way of thanking the people who look after you, and they make a real difference to many of the guides, drivers, cooks, porters and staff you will meet.
Your guide can offer general advice on customary practice during your trip. Tips are normally given at the end of a service, in cash, and in a currency that your guide can use easily. How much you give, and to whom, is up to you and should reflect the quality of service you received. If tips for a group are pooled, please make sure that they are shared fairly with the whole team.
You are welcome to take photographs for your own use. Please ask before photographing people, and respect a refusal. Some places, such as military, government or religious sites, restrict photography. Follow local rules and your guide's advice.
Drones, commercial filming and professional photography are regulated and often need permission from the authorities. Do not bring or fly a drone without telling us first and obtaining all necessary approvals. Equipment may be confiscated and fines may apply, and you are responsible for them.
We may take photographs or video of our trips, and may use them in our marketing. If you do not want to appear in our images, tell your guide or us in writing and we will respect that. If you send us your own photos and agree that we may publish them, you confirm that you have the right to do so.
We are not responsible for any failure or change to your trip caused by events outside our reasonable control. These include natural disasters, extreme or unusual weather, flooding, fire, epidemic or public health measures, civil unrest, strikes, war or threat of war, terrorism, border or park closures, government action, and cancellation or disruption of flights and transport.
If such an event affects your trip, we will do what we reasonably can to tell you promptly and to find a sensible alternative. Refunds of what we have not already paid to suppliers may be possible, but money already spent and not recoverable cannot be returned. Any extra cost is yours to meet unless your insurance covers it.
We will arrange your trip with reasonable care and skill. If we fail to do so, and this causes you loss, we will put things right where we reasonably can. Safari and mountain travel carries real risks, including accident, illness, injury, loss of property and death. By travelling, you accept those risks that are a normal part of such travel.
To the extent the law allows, our liability for any claim relating to your trip is limited to the amount you paid us for the part of the trip affected. We are not liable for indirect loss, such as loss of enjoyment of an unrelated part of your holiday, lost earnings or costs of separate arrangements, unless the law says we must be.
Nothing in these terms limits or excludes liability that cannot lawfully be limited or excluded, including liability for fraud or for death or personal injury caused by our negligence, where the law does not allow it.
We are not responsible for loss, injury or damage caused by your own actions, by ignoring instructions from guides or park rules, by your failure to disclose a health condition, or by your failure to follow these terms.
Please look after your valuables, documents and money. We cannot be responsible for items lost, stolen or damaged during your trip, so make sure your insurance covers them.
Your trip depends on lodges, camps, hotels, airlines, park authorities, transport operators and other independent suppliers. We choose them with care, but they are separate businesses that run their own operations under their own terms.
Where a supplier fails to provide a service, or causes you loss or injury, we will help you to make a claim against them and will pass on any compensation we receive for you. Beyond that, and beyond what the law requires, we are not liable for their acts or omissions. Their conditions of carriage, stay or entry may apply to you in addition to these terms, and where they limit liability by international agreement or by law, those limits also apply.
We want your trip to go well. If something is not right, please tell your guide or us at once, while it can still be put right. Most problems can be fixed on the spot, and we cannot fix what we do not know about.
If the problem is not resolved during the trip, please send us a written complaint within 14 days of the end of your trip, by email to info@theexpeditiontourstz.com. Include your name, your booking details, what went wrong, what you already did about it and what outcome you would like.
We will reply within 14 days of receiving your complaint. If it needs more investigation, we will say what we are doing and when to expect a full answer. We will consider your complaint fairly and with an open mind.
Telling us during the trip lets us act, and a written complaint soon after helps us to check what happened with our suppliers and crew while events are fresh. A failure to raise an issue during the trip may affect what we are able to do afterwards.
We collect and use personal information, including passport details, health information and payment details, only to arrange your trip and to meet our legal duties. How we do that, how long we keep it, who we share it with and what rights you have are explained in our Privacy Policy, which is available on this website and forms part of how we handle your booking.
By making a booking, you agree that we may share the information needed with the suppliers and authorities who provide your services, including lodges, airlines, park authorities and insurers. The person making the booking confirms that they have the authority to give us information about the others in the party.
The itineraries, proposals, route designs, text, photographs, logos and other material we create or use in our proposals and on our website belong to us or to those who license them to us. They are shared with you so that you can decide about your trip.
You may not copy, resell, publish or hand over our proposals or itineraries to another operator or business to be used or priced against ours without our written permission. Using our designs to arrange a trip with someone else, or passing them on commercially, is not allowed. You may share them with the people travelling with you and your advisers.
These terms, and any dispute or claim arising out of them or your trip, are governed by the laws of Tanzania. Before starting any formal proceedings, we ask both sides to try in good faith to settle the matter through the complaints process in section 33 and by direct discussion.
If a dispute cannot be settled in that way, the courts of Tanzania sitting in Arusha have jurisdiction over it. Nothing in this section removes any right that you have by law which cannot be excluded.
We may update these terms from time to time, for example to reflect changes in the law or in how we work. The version that applies to your booking is the one in force on the date that your booking was confirmed, and later changes will not make your terms worse for a booking that is already confirmed, unless the law requires the change.
The date at the top of this page shows when the terms were last updated. If you have questions about how a change affects you, please ask us.
If you have a question about these terms, your booking or anything else, we are glad to help.
